Executive Assistant

This is an Executive Assistant role, reporting to Managing Director and will be located in Bangalore. In this role, you will provide general administrative services and/or secretarial assistance at local/global country, function or business level.

Your responsibilities

• Performs complex administrative activities and takes responsibility for delivering specific department processes/programs with specific focus on managing the schedule/calendar of the CEO. Should be able to implement ABB processes and initiates continuous improvement of administrative processes & procedures to maximize effectiveness.
• Research, compiles and issues special reports, presentations, organization charts, correspondence, etc. Responsible for various communication tasks within area of responsibility, ensuring knowledge and information is shared and keep others up to date.
• Arranges business critical internal/external events, including for example travel arrangements, itineraries, accommodation, conference registration, visiting speakers etc. Need to manage the complex travel agendas for global and local stakeholders with significant attention to details.
• Act as a liaison and provide support to the Board of Directors. Support the logistics for Board meetings and events which may include support in scheduling meetings; refine agendas; develop, compile, and distribute presentation materials etc.
• Handle relationship both with the senior executives as well as the larger employee group with sensitivity and discretion. Ensures that CEO has unfettered access to the flow of information in the organization.
• Acts as point of contact for internal/external enquiries. Initiates action and makes judgments about urgency of issues. Provides confidential support to individual executives and/or management team members.

Your background

• Bachelors/master’s degree in any discipline.
• Experience of 15-20 years of secretarial experience with senior leaders and a minimum of 5 years in the CEO office.
• Working experience in a Multinational environment is desirable.
• Must have good interpersonal skills.
• Good verbal and written communication skills.
