Provide administrative support to Supervision, The Personal Advisors Group (TPAG). Responsibilities include: schedule meetings and conferences, may read and respond to emails and requests on behalf of leaders, prepare presentations, internal and external communications, travel arrangements, expense reports and invoices. Respond to ad hoc requests and provide project support, meeting and logistics support for town halls and offsites. Extend independent judgement over prioritization of work, and on behalf of leader.
Independently manage leaders’ calendar and prioritize meetings. Schedule meetings and/or conferences by interacting with internal/external clients/partners to coordinate calendars, accommodations, meeting materials and supplies.
Manage strong relationships with other administrative assistants (including ELT assistants) to help influence, prioritize and schedule high priority meetings.
May read and respond to emails and requests on behalf of the leader; ensure leader is informed of pending requests or requests where follow up is required.
Prepare expense reports, invoices, presentations, internal/external communication, travel arrangements, and other misc. reports.
Coordinate/administer department programs (recognition, timekeeping, budgets, supply management, etc.), off sites, and special events or conferences.
Respond to ad hoc requests and provide project/program support representing the team (researching issues or questions about policies or practices, coordinate a conference, etc.).
Provide new hire training and/or mentoring to administrative staff within department or business unit. Will back-up other administrative assistants.
3 to 5 years relevant experience.
Proficiency w/ computer programs (MS Word, Excel, PowerPoint) and administrative programs (Outlook, XMS, Concur, Ariba Buyer, etc.).
Ability to multi-task, quickly change direction and independently prioritize work in order to support multiple people.
Strong attention to detail and eye to accuracy is critical.
Ability to anticipate needs and use independent judgment given limited availability of leader(s).
Demonstrated ability to exercise discretion when handling sensitive and confidential information.
Excellent verbal and written communication skills. Must be able to represent team in a favorable and professional manner to field partners, business partners and to new employees.
Bachelor’s degree or equivalent.
