Introduction:

• Using a variety of software packages to produce correspondence and documents, and maintain presentations, spreadsheets and databases
• Ordering and maintaining stationery and equipment supplies
• Coordinate visits of Office personnel from overseas and other offices
• Ensure organisational charts for teams are up to date
• Document control, maintaining incoming and outgoing documents
• Arrange conferences, meetings, and travel reservations for office personnel
• Coordinate with appropriate teams for Facilities management, office upkeep, resolution of IT issues faced by staff
• Compose, type, and distribute meeting notes, routine correspondence, and reports
• Act as an Organizer and Coordinator for all Financial control / Finance activities/events
• Email management, as applicable
• Mail newsletters, promotional material, and other information
• Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications
• Responsible for all the logistics such as travel, ground transport and Visas for the senior staff and dealing with event management teams
• New joiners on boarding
• Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs
• Maintain scheduling and event calendars
• Coordinate conferences, events and meetings
