The Embassy of Sweden in New Delhi is looking for a secretary/assistant for the Embassy’s economic and promotional section.

General

The Embassy of Sweden invites candidates to apply for the post of secretary at the economic and promotional section, which is responsible for business, trade, Sweden nation-branding and cultural promotion.

The position is full-time with a probationary period of six months. The starting date is 1 May 2022.

We are looking for an experienced secretary/assistant who is efficient, able to take the initiative and work independently but, at the same time, a good team player. We place great importance on service-mindedness, positive attitude, and personal competence.

Tasks

Your main duties would be to

• Organize appointments, prepare meetings, and manage official correspondence for the section
• Manage the Head of Section’s Calendar
• Make travel and hotel arrangements including visa formalities for the section officers
• Coordinate and document key section meetings, both external and internal
• Coordinate and manage information systems for the section such as preparing decisions, Note Verbales, letters and presentations, on behalf of the section
• Assist in the sections archive management
• Assist in program and logistics of visits from high level dignitaries and delegations from Sweden
• Handle invitations and other preparations for various events
• Monitor and record expenditures as per allocated information and promotional budgets

You will be stand by for secretaries of other sections as well as Head of Mission. You might also be assigned other duties by the management of the Embassy.

Qualification and Experience

• Bachelor’s degree or diploma majoring in administration, management, commerce, or similar
• Minimum 5 years documented experience of office management and secretarial duties
• Proof of language skills
• Accounting / budgeting skills is an advantage
• Communication skills and facility with social media (LinkedIn, Instagram, Facebook etc) not strict requirement but certainly welcome

• Excellent command of spoken and written English and Hindi
• Ability to work under pressure and meet deadlines
• Efficient and methodical
• Proactive and able to set priorities
• Excellent computer skills, including knowledge of Word, Excel and Power point
• Good team player but also able to work proactively, take initiatives independently and suggest improvements
• Willingness and ability to learn, develop and take responsibility
• Ability and integrity to handle confidential information

Salary

The salary will be based on the scale for local personnel at the Embassy of Sweden in India, which is an equal opportunity employer.
