Main purpose of job:

The Key element of this role is to provide direct support to the Corporate Services- Human Resource Team for India Network. You will also provide administrative support to the Director Corporate Services. Good HR and communication skills, attention to detail, are essential requisites for the job. Successful candidate will also need to demonstrate strong interpersonal skills as well as resilience.

Roles and responsibilities:

• HR Induction, on-boarding and exit management- Supporting HR Manager in organising quarterly Induction programme for new joiners. Managing the logistical arrangement for induction set-up. Follow up with the stakeholders on the induction day. Work on induction feedback/MIS and maintain induction records. Reviewing and updating induction pack at least once every quarter. Co-ordinate for security briefing of new staff on weekly basis. Obtaining necessary approval from the post security team before the candidate joins and informs the relevant stakeholders. Issuing appointment letter, collecting joining documents and put them in their personal files. Sharing induction pack/link with the new joiners. Collect and file the exits forms in the staff file. Issue experience certificates to the staff. Hand over Salary, loan and SAF/PF cheques to staff and exit staff for all posts in India. Provide CS/HR clearance to Pay & Benefits team to process the Full & Final settlement of exited staff. Hand over Salary slips, Salary certificates & PF statements. E-filing of personnel files.
• Manage pre-employment security vetting by co-ordinating with HR Hub, selected candidate and outsourced security vetting service provider and seek approval from the Regional Overseas Security Manager (ROSM) on pre-employment security clearance report before confirming to the HR Hub, hiring manager and IT about the confirmation of start date of new recruits
• Payroll management-Coordinating with India Network posts for the monthly variable pay inputs. Compiling payroll data including adjustments, amendments relating to overtime, unpaid leave, allowances and other changes necessary for accurate payroll calculation. Timely distribution of salary slips, Salary Certificates, PF and SAF statements.
• Employment related letters: Issuing employment related letters to all staff at New Delhi post and sending letters for staff at other DHC across India for further distribution. Doing quality check of letters before issuing them. Regular updating the tracker to record issuance of letters on time.
• Maintain the Corporate Services staff list and organogram; ensure that the Corporate Services telephone tree is also kept up-to-date; Maintain the BHC internal telephone (Photo) directory
• Support Director Corporate Services in organising various meetings by timely sending out calendar invites, circulating agenda, documents and taking notes of the meeting
• Providing administrative support to Deputy Director Corporate Services, HR Manager and Head of HR.
• Supporting vaccination drives for staff as and when needed. Coordinate with stakeholders, staff etc
• Address staff queries on medical insurance and distribute the health insurance cards to staff
• Managing logistical arrangements for any HR/CS events as and when required
• Provide leave cover for CLO and India Bulletin.
• Check and process CS/HR invoices for payment.
• Manage Note Verbale Numbers for official communications to the MEA.
• Perform any other CS/HR related role as directed by CSM or Head of HR.

Language requirements:

Language: English

Level of language required: Extensive

Essential on arrival:

• A degree in HR with minimum 3 years of experience in HR
• Strong organisational and resilience skills;
• Good knowledge and application of IT and office administration
• An ability to work on own with minimum supervision or instruction to exercise initiative and deliver results
• Good listening, written and speaking skills

Basic Salary will be INR 48,766 per month together with a 12% provident fund and 6% Superannuation Fund.

If you are a spouse of a staff member already employed with British High Commission, you will be covered under the family medical cover of your spouse.

No relocation or any other related costs or assistance will be provided.

Please note – BHC does not deduct tax at source and employees are required to ensure that any requirements of local income-tax law are complied with in full. Employees who are not liable to pay local income tax on their Mission salary, eg. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
