Responsibilities:
· The Administrative Officer will assist the principal in administrative matters of the school. He/she is responsible for all administrative and logistic duties. He/ she will function under the Principal on all aspects of school administration and assist him/her in achieving the aims and objectives of the school. Administrative Officer will be assisted in the performance of his/her duties by the following staff: –
(a)Clerk.
(b) Supervisor Administration/Office Superintendent (If employed).
(d) Accountant if employed
(e) Other Administrative Staff.
Duties:
The detailed duties are as follows: –
· The academic and administrative matters of the school are inter-dependent. The administrative officer will, therefore, maintain a close liaison with Principal/Vice Principal/Academic Coordinator to ensure effective implementation of school routine and to maintain high standard of discipline and efficiency among staff and students.
· Guidance and Training: Guiding and training his subordinates and supervision of their daily work.
· Personal Document: Proper maintenance of personal documents of all employees.
· Arranging remittances: Arranging remittances in accordance with the rules of Telephone authorities and electricity.
· New Admissions: Preparatory work and support connected with new admissions.
· General Correspondence: General Correspondence of the school office.
· Annual Stock: Arranging Annual Stock Taking-cum-Condemnation with permission in respect of all stores and proper follow-up action.
· Leave Records: Ensuring correct maintenance of leave record of both academic and administrative staff and check daily attendance register of staff. The leave records and monthly attendance to be submitted to HR as per salary cycle.
· Maintenance of Files, Documents: Ensuring proper maintenance of files, documents, ledgers, vouchers and other documents of logistic matters.
· Educational and Recreational Trips: Administrative arrangements for educational and recreational trips of students and staff.
· Payment of Bills: Prompt processing and payment of the bills within a maximum period of seven days.
· Safety and Security: Assist the Principal in maintaining safety and security of students, employees and property in school campus. Make “Fire Prevention and Fire Fighting/Disaster Management Arrangements” and carry out periodic rehearsals.
· Administrative Arrangements: To make satisfactory arrangements for supply of drinking water for the pupils and ensure that the school buildings and its fixtures and furniture, office equipment, lavatories, playgrounds, school gardens etc. are properly and carefully maintained.
· Provisioning: Arranging proper provisioning, procurement and accounting of school stores including Mid-Day Meal and equipment.
· Maintenance: Ensure general upkeep, repairs/maintenance of accommodation, furniture and equipment.
· Hygiene and Sanitation: Proper hygiene and sanitation and conservancy arrangements in the school campus.
· Transport: Co-ordination with transporter to ensure smooth running of hired transport for students.
· School Security: Supervision to ensure proper functioning of school guards and proper maintenance of registers at the main gate.
· Directory: Maintain details of important telephone numbers of essential services like Police, Hospitals, Fire Stations, Railway Station, Bus Stands, District Authorities including District Disaster Management Centre.
· School Functions: Ensure Administrative arrangements for school functions like sports day, annual day etc.
· Carry out other administrative duties assigned to him by the Principal or higher authorities. Additional Duties
Qualification:
· Graduation in any stream
Experience:
· Minimum 3-5 years of relevant work experience
Note: Candidate should be able to converse in Punjabi language.
