Job Responsibilities
1. Extend and ensure warm and courteous service to all the guests, the management and employees of the Hotel.
2. Be informed on the daily room position.
3. Have detailed information regarding arrivals, their room requirements and expected departures of the day.
4. Greet all guests and address them by name whenever you see him/her and ensure all required details like date of departure, address and mode of payment, etc., are filled-in properly on the registration card.
5. Ensure good ready room according to guest preferences is allotted to the guest and ensure the registration card with the correct rate is given to all guests during check-in.
6. Ensure that every guest has a smooth and quick check-in.
7. Ensure all the complaints from the guests are handled delicately and informed to the Duty Manager.
8. Ensure that the check out is taken correctly and the guest is given the correct bills.
9. Cross check Housekeeping occupancy report and inform the Duty Manager about discrepancies.
10. Feed in the data collected from the guest through the registration card/business card, on to the Computer and update guest profiles on a regular basis.
11. Sell higher priced rooms to the guest by skillful salesmanship (upselling).
12. Handle scanty baggage guests very carefully and keep the Bell Desk, Housekeeping and Security departments informed about any suspicious incidents.
13. Know the Hotel and the City so well that you do not have to say “I DO NOT KNOW”.
14. Ensure that all guest/internal correspondence is filed and maintained systematically.
15. Ensure all messages are transmitted in time and also that messages are sent to the guests with regard to any requests from them.
16. Answer all incoming calls for guests in their absence and convey/record all messages.
17. Handle all guest mail, parcels, telegrams as per laid down procedures.
18. Always be ready to answer queries on the Hotel and places of tourist interest.
19. Keep information aids like time tables, road maps, Hotel guide, etc., handy for guest usage.
20. Ensure that the log book is read and signed every day before the shifts.
21. Ensure that the arrival list is read and signed everyday before the shifts.
22. Assist the telephone operator whenever required.
23. Handle the Board and answer all incoming calls by guests and employees.
24. Ensure that the indenting of the par stock in done on a weekly basis.
25. Ensure the first aid box is kept full and all the medicines are available at all times.
26. Ensure that the GSTS cards are presented to the guest at the time of check out.
27. All checkout guest’s vouchers to be attached to the bills and sent to the accounts department.
28. All guests to be charged correctly and signature to be taken on the charge slip.
29. The TT and CN rates to be updated on the PMS on a daily basis.
30. Ensure that there is no shortage in the cash float.
31. Ensure that the billing for the WiFi internet is done accurately.
