Operations
1. Planning, Scheduling and promoting office events
2. Evaluate the administration jobs to ensure shop and office operates smoothly & efficiently.
3. Assist in developing to enforce budgets, delegating tasks and tracking progress on projects
4. Planning and organizing a calendar of events
5. Streamlining shop and office operations to maximize quality and efficiency while reducing costs
6. Working with accounting and management team to set budgets, Monitor spending and processing.
Facility Management
1. General upkeep and maintenance of buildings to ensure safety standards
2. Ensure to adhere legal requirement and preventive maintenance of buildings
3. Oversee and supervise team of maintenance services
4. Allocation of vehicle drivers accord to the requirements
5. Monitor drivers to adhere safety norms and effective utilization of vehicle.
6. Organize hired vehicle as per the company norms as and when required
4.Ensuring that basic facilities such as water, infrastructure are well maintained
5.Overseeing building projects, renovations or refurbishments
6. Menu chart preparation for staff mess and strict adherence
7. Ensure the quantity and quality of staff mess food and timely services
8. Train and supervise security officers and guards
9. Control budgets for security operations and monitor expenses
10. Plan and coordinate security operations for specific/special events
11. Solve the security personnel grievances at a priority
12. Travel arrangement of MD and others in line with the management policies.
13. Support to shop floor personnel’s indoor promotional activities.
14. Monitor the AMC due date for all fixed assets and passengers lift
Public Relation
1. Develop media relations strategy, seeking high level placements in print, broadcast and online media such as face book etc
2. Co-ordinate all public relations activities
3. Maintain a keen understanding of industry trends affecting clients and make appropriate communication to management
4. Create sponsorships and advertising on an on-going basis.
5. Rental agreement/royalty payment terms for hoardings and wall advertisements
6. Create content of press release and keynote presentations
7. Coordination with PRO for obtaining necessary approvals to do business promotion and stall activity in outdoor.
Record Management
1. Ensure record management systems are in track with the norms and safety
2. Overseeing the switch from paper to electronic record keeping
3. Classifying and indexing records in all departments/sections
4.Ensure maintenance of all records allotted to securities
5. Create reports for management on security status
6. Ensure all records are easily accessible as and when required
7. Maintenance of Fixed Assets register and share to finance department
Supply and Purchasing
1. Keep a constant check on regular usage of maintenance /Electrical stocks
2. Develop a purchasing strategy to search for a vendor of all administration activities.
3. All purchases in respect of administration purpose should ensure to obtain vendor quotation and proper order placements through PO
4. Build and maintain good relationships with new and existing suppliers.
5. Process payments and invoices with backup documents as specified by the finance department
