A.ADMIN FUNCTIONS
1. To ensure Opening/Locking of the office in a proper manner on every day.
2. To monitor and maintain daily attendance of all staff and send daily biometric report through whatsapp to management
3. To check and forward leave /permission request of staff to management for further process.
4. To maintain & monitor housekeeping activities in all areas of office premises.
5. MD’s room maintenance including pooja arrangements.
6. Collecting daily activity logs from all staff, check, scrutinize and add & allocate any additional work intimated by management accordingly to the concerned staff.
7. The activity log collected from all staff should be updated in the whatsapp group / google drive
everyday in the morningbefore 11 am & in the evening report to be collected and uploaded in
whatsapp group / google drive before leaving office.
8. To monitor and maintain a register of inward/outward, movement register, visitors register etc.,
maintain at reception.
9. To maintain the key, registers of the office premises with all the details.
10. To maintain AMC records/warranty cards for all the equipment for maintenance purpose.
11. To maintain a stock register for stationery items and prepare a statement for the monthly stationery requirement to management.
12. Purchasing & maintaining stationery / housekeeping / pooja materials stock list etc.
13. To get maintain and process all bills for payment { mobiles, CUG connections, internet etc.,}
14. To ensure payments for all electricity connections in time.
15. To organize staff weekly meetings (Friday & Saturday), and prepare and follow minutes of meeting with management.
16. To take care of company vehicle maintenance/vehicle insurance & documents/fuel log book.
17. MD’s documents to be maintained such as bank details, id cards, insurance, address proof , driving license etc to be Kept in proper pouches.
18. To coordinate and organize vendors meet with management as and when required.
19. To comply with the statutory obligations by co-coordinating with the related staff and others.
20. To maintain admin related contacts like AMC, vendor, ad agency and others.
21. To maintain all format and folders in such a way to give at particular point of time.
22. To co-ordinate with clients whenever required.
B.HR ACTIVITIES
1. Posting ad in newspaper, free ads, job portals etc . for candidate scrutinize of particular post.
2. Receiving application from sources and through referrals also and the same to be screened and shortlisted.
3. Arranging interview with management and coordinate till finalization.
4. To complete joining formalities (i.e. to receive address/ID proof, salary slip, relieving order, experience certificate etc., & 2 photos).
5. Induction: to explain about hr policy, standard operation system, roles & responsibilities & company profile.
6. To verify with original certificates and referral check with immediate previous employer/ personal background.
7. For all the new staff- personal records should be collected and kept in the individual files with acknowledgements of staff and get concurrence from management.
8. To provide sim card/pc/data card/pen drive/stationery kit and other allowed facilities and creating individual email id’s/password to the new staff as approved by the management.
9. To complete bank account opening formalities and maintain individual staff files.
10. To check salary advance requests from staff and forward to management for further process.
11. To maintain attendance calculations and prepare monthly salary statement
12. Obtaining resignation letter from employee conduct exit interview and complete relieving
formalities to the exit employee.
13. To clear no due certificate / clearance certificate for resigning staff as PA to MD.
14. Maintaining current & exit employee details
Job Type: Full-time
Salary: ₹20,000.00 – ₹25,000.00 per month
