The Challenge:
Reporting into Head of ACS (APAC), Programs & Office Manager holds overall responsibility of Strategy, Business operations & Executive assistance of the organization. You are responsible for Program, Business Communications & driving operational efficiencies along with managing administration responsibilities.
What You’ll Do:
Programs & Administration
Drive strategic planning and goal-setting for the entire organization on a quarterly and annual basis
Connect the dots as you look across the organization and identify strategic initiatives to ensure focused execution of organizational strategy
manage executive stakeholders (board, strategic partners/donors, leadership team, etc)
Facilitate decision-making at the highest levels and improve the effectiveness of the leadership team
participate in organizational strategy development to ensure the team builds an executable strategy
Provide sophisticated calendar management: Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
Act as a liaison and support leadership meetings: Arrange and handle all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes if necessary.
Complete various administrative tasks that facilitate the leaders’s ability to effectively lead the organization, including assisting with special projects, collecting and preparing information for meetings with staff and outside parties, composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
Work closely with the leader to inform them of upcoming commitments and responsibilities, following up appropriately. Anticipate their needs in advance of meetings, conferences, etc.
Other projects/duties as assigned for the overall benefit of the organization.
Business Operations:
Drive operational excellence for APAC & India Work cross-functionally with Delivery, Competency, TA and finance teams to tackle complex business problems and drive strategic planning. Build predictable mechanisms to track forecast risks and flag any deviations that may lead to the businesses missing their respective goals. In addition to revenue, also build ways to accurately track the tactical hygiene metrics . Weekly, Quarterly and any adhoc reporting to leadership. Collaborate with competency teams to drive overall quality initiatives for the team
What You Ought to Succeed:
12+ years’ experience in administration and programs Excellent verbal, presentation, and written communication skills, including executive communications Excellent problem-solving skills, with a demonstrated ability to identify issues, solve them quickly and well, and know when to rely on internal resources to assist. Strong conflict resolution and negotiation skills Ability to collaborate effectively across the organisation and clients Ability to lead in an environment of uncertainty, ambiguity and complexity with diverse partners.
