Key Responsibilities
· Keeping the Executive Director’s diary – arranging appointments and assisting in planning his day. Locating relevant files and papers in connection with these and bringing forward any files requiring action, Drawing the attention of the Executive Directors to any urgent items in his mail or in the day’s activities.
· Dictation, Typing, composing correspondence and summarizing, compiling and generating reports, etc. as per instructions of the Executive Director.
· Sorting, reviewing and scrutinizing all the incoming mails received.
· Receiving incoming mail and preparing outgoing mail by ensuring that all correspondence has been signed, enclosures attached and the envelopes prepared for dispatch.
· Filing and indexing business correspondence.
· Provide continuous, high-quality support to the Executive Director.
· Organizing and attending meetings, including preparation of agenda and minutes.
· Performing follow-up on special assignments.
· Respond to client needs and provide additional support wherever necessary.
· Arrange Appointments, Meetings, Parties & Conferences etc. Perform Office Correspondence & Record keeping
· Efficient handling of top and confidential correspondences. Handling of personal correspondence independently.
· Drafting, and preparing letters & answers to routine letters. Coordination with Sr. officials.
· Assigning and distributing work under general direction to other clerical and office staff.
· Handling correspondence for the Heads of Department as and when requested by them.
· Response to the calls & all E-mails and reply to all accordingly.
· Implement and maintain the office systems.
· Maintain schedules and calendars.
· Arranging for private matters, e.g. flowers for special occasions, greeting cards etc.
· Documentation and filing of internal correspondence.
· Set up and maintain filing systems/ Locate and attach appropriate files to incoming and outgoing correspondence
· Communicate verbally and in writing to answer inquiries and provide information.
· Liaison with internal and external contacts.
· Operate office equipment and maintain an adequate inventory of office supplies.
· Preparation of weekly engagement in consultation with Executive Assistant to Executive Director.
· Performing all Secretarial Duties.
· To perform any other duties or responsibilities as may be assigned by Management, from time to time.
