Experience: 3-5 years
Summary: The candidate will be responsible for managing the general office administration.
Administration by conducting research, preparing statistical reports, handling vendors. In addition, the candidate shall also assist the Director and the visiting management representative in receiving visitors, arranging conference calls, assisting in travel arrangement, and scheduling meetings.
Roles & Responsibilities:
General Office Administration
• Manage the office administration and housekeeping staff.
• Manage the courier vendor and support department for any courier or transfers.
• Prepare Purchase Order and process vendor invoices.
• Invoice and Budget Control.
• Daily management of Company assets, Area, Pantry / Canteen, and stationery.
• Planning of Monthly and annual maintenance activities.
• Set up workspace for the Employees.
• Maintain databases for relevant activities.
• Vendor management and follow-up.
• Coordination with builders for anything related to building issues and rectification if any.
• Verify contractor bills for accuracy and certification of quantity.
• Overseeing all building systems including fire/life safety, HVAC, Electrical, Electronics, Plumbing and all critical utilities.
Secretarial
• Scheduling meetings of the Director and visiting management representative.
• Manage travel bookings.
• Manage timesheet / expenses for the Director.
• Manage and facilitate board meetings / client meetings, etc.
• Provide secretarial support to the Director.
• Manage and maintain records and documents, ensuring confidentiality and accessibility.
