Job Title: Office Administrator

Location: Gurgaon

Position Overview:

You will be integral to our Gurgaon office as our Office Administrator. You will provide administrative support to several Leaders in a designated support capacity, and where necessary, additional administrative support to their teams including coordination of travel plans, accommodation, and thorough expense reporting. Frequent communication and collaboration with other Executive Assistants is critical to success. The candidate will work from the office and therefore, excellent interpersonal skills and the ability to forge strong and successful working relationships are essential.

Additional duties may include providing administrative support for the office matters, including, and not limited to, Finance and IT.

Major Responsibilities

The major responsibilities for the role will focus upon, but may not be limited to, the following activities:

• Management and maintenance of office inventory (e.g. pantry, office supplies)
• Managing the office budget, including forecasting and tracking spend
• Administration support to the case team, which includes but not limited to travel arrangement and hotel bookings

• Answering/Screening calls and attending to visitors and guests
• Handle incoming and outgoing mails including local and overnight couriers
• Arrange meeting room, audio or video conferencing as required with proper records and rates checked for monthly recharges
• Organizing travel and accommodation for staff for internal and external events and team outings

• Enable corporate ties-ups for hotels/ event places etc. and manage vendor negotiations
• Work collaboratively with different teams to ensure overall smooth running of office space ( IT / Procurement/ office management authorities etc.)

Candidate Qualifications

• Bachelor’s degree or an equivalent combination of education, training and experience
• Someone with 2-3 years of previous experience in supporting management or direct administrative secretarial experience
• Very good knowledge of Microsoft Outlook
• Fluent English is essential
• Exceptional organization, prioritization, and time management skills as well as meticulous attention to detail

• Ability to successfully balance the support requirements of multiple leaders meet deadlines, prioritize assignments, juggle multiple tasks simultaneously and deal with highly confidential information
• Strong proficiency in Microsoft Word, Excel and PowerPoint
• Strong customer service focus with a “can-do attitude”
