11. Staff performance / attendance and vacation details : Annual review report semester wise.
12. Departmental circulars coordination that are duly signed by principal / VP / Management
13. Coordination with HOD’s / Teaching staff as per guidance of Principal
14. Coordination with Department for arrangement of conference / Seminars / Meeting / Functions etc. which including coordination with transport and construction
15. Coordinating with purchase Departments / Finance/ Stores.
16. Staff Welfare Administrative activities including PF, ESI, Group Insurance, Assts Insurance and Claims.
17. Assist Principal / Dean / Vice principal in planning:
a) To improve public relations / working atmosphere
b) To improve college image and coordination with press and Media.
c) To coordinate in medical camps for staff and students
d) To improve patient care
e) Hospitality for VIPs and during Special programs
18. Implementing systems and procedures for effective administrative after the approval from management office.
19. Responsible of Cleanliness and Housekeeping of the campus.
20. Responsible for maintenance of stock register and updating it regularly which includes computer maintenance division.
21. Coordination with all concerned for preparation of calendars, college Magazines, Brochures, Invitation and greeting Cards etc.
22. Liaison with police / Panchayat / Labour dept/ MMDA / Other Government and private agencies as and when required with the approval of Principal and Management office.
23. Preparations and coordination of all Inspection Activities of AICTE / NAAC / DCI / INC and ranking bodies as the case may be.

25. Other works as assigned by principal / Management Office.
II. Human Resources Function:
1. Manpower planning with the approval of Management and in accordance with the requirements of University / AICTE for Teaching and Non – Teaching staff
2. Monitoring discipline of Non – Teaching staff
3. To maintain the attendance of Teaching and Non – Teaching staff on are regular basics and reports to submit to HR Department.
4. To collect staff performance Appraisal / attendance details from the HODs.
5. To update the principal / HR Department / Management office about the vacancy positions of Teaching and Non teaching staff, so as to fill the vacancies in time.
6. Arrange and coordinate with VP Admin / HR Department to relieve the teaching and Non – teaching staff on their resignation / retirement.
III. Secretarial:
1. To attend regularly monthly admin staff review meeting conducted by principal / Management Office and follow the decisions taken.
2. To arrange for the conduct of Governing Council Meeting, HODs meeting etc and maintain the minutes of the same
3. Take up special assignments in any Institutions or organizations of SRM Group as and often so required by the Management
4. All incoming Thapal register to check and reply correspondence in time.
5. Immediate Response to the students Correspondence and Request
6. Daily Reporting to Google sheet
7.All correspondence to register / VC / SRMIST , other governmental agencies, banners, parents.
8. Maintaining the statutory approvals such as fire safety structural stability etc with updation in current date
9. Maintaining all AMC details and follow up.
IV.Academic:
1. To coordinate Semester wise / Year wise Exam related work with SRMKattakulathour Campus and coordinate in preparing Result Analysis of the University Examination.
2. Monitoring of Admission Procedures, Collection of fees, Issue of Hall Tickets, Student Scholarships, issue of Course Completion Certificate and TC, Railway/ Bus Concessions.
3. To send letters of communication to parents regarding absentisum / misbehaviour/ progress of the students.
4. Drafting letters to University / AICTE / GOVT. / DTE/ UGC / DCI / HRD & Health Ministry.
5. Liaison with Universities
6. Assistance Examination Cell and Coordination
7. Preparations for all Inspection Activities
8. Maintaining and monitoring students scholarship
9. Schedule of activity for every academic year
10. Schedule of fees collection every year
11. All examination related activities like-
i) SRM University Exam
ii) All external conducted examinations with RRB , IAS & other examination through Assis.
12. Getting approval and scheduling of examinations during holidays without affecting regular academic works.
V.Finance:
1. Monitoring of salary Bills including PF and TDS deductions
2. Liaison with purchase Department / Stores / Infra Projects / HR Division / Finance Division including cash and Accounts Division
3. Monitoring semester wise fee dues and reporting to HOI’s.
VI. Purchase / Stores / Infra projects :
1. To coordinate raising Indent from store, purchase and follow up the approval procedure.
2. Coordination and maintenance of equipment’s and services, compile feedback and provide prompt services in time to the Departments.
3. Liaison with purchase Department / Stores / HR Division / Finance Division including cash and Accounts Division
4. Monitor the arrangement of stores / stationery, inventory , Annual stock verification and waste Management according to the audit procedure.
5. Regularly coordinate in preparing work orders and issue the same to respective vendors in coordination with HOI’s approval.
6. Prepare regular monitoring reports of all infra projects and submit to HOI’s.
VII. Additional work:
1. Take up special assignments in any Institutions or Organisations of SRM group as and when so required by the Management.
2. To submit Kaizen Report in the format through Principal / Management office along with Monthly Reports before 5th of every month.
3. Take up special assignments in any Institutions or organizations of S.R.M. Group and when so required by the Management.
4. Other works as assigned by chairman / Office of chairman.
5. Daily Visit to campus premises ( University , Dental , Hospital, Easwari engineering college)
6. Daily reporting to Management Office.
7. Cleanliness and Housekeeping of the Institutions and campus.
8. Over all supervision and Monitoring House keeping services.
9. Over all supervision and Monitoring security services
10. Monitoring Discipline of the staff ( Teaching and Non – Teaching)
11. NAAC / NBA & Other ranking bodies Data collection and maintaining as archives
All the works which are assigned by HOI’s / Management office also to carried out as and when entrusted.
