Responsibilities:
The following duties are typical of the position, but are not all encompassing. Responsibilities include those required to deliver quality service on schedule and within budget in a team environment.
Administrative job responsibilities
- Performs various administrative tasks requiring a thorough knowledge of office routine and understanding of the firm’s organization, programs, and procedures.
- Handles proprietary information in a confidential manner at all times.
- Maintain archive records and databases in accordance with corporate procedures.
- May assist Human Resources with various tasks such as New Hire Orientation, or the ordering of memorials, or gifts for births, get well, and weddings.
- May be assigned to or assist with corporate led initiatives.
- May be assigned to the front desk reception as a member of the reception team or provide backup assistance to the team; welcoming to visitors or clients, route incoming faxes, extend professional first and last impressions.
- May support the travel team by scheduling of rental cars and reconciliation of rental invoices where applicable.
- May assist facilities team with tracking use of SSOE pool cars, mileage, and maintenance; creation of ID badges and replacement badges; and ordering of nameplates for new hires.
- May be assigned to and / or provide assistance to Client Requirements for project team compliance.
- May train other staff in use of prevailing office software applications.
- Additional duties may be assigned based on business need which may include arranging travel, database and record management, or planning company events.
Human Resource job responsibilities
- May assist Human Resources with various tasks such as New Hire Orientation, or the ordering of memorials, or gifts for births, get well, and weddings.
Provides general clerical and administrative support for the HR Department and assists HR staff. This administrative support may include, but is not limited to: data entry, data auditing, document preparation, report creation, meeting logistics, conducting research, and answering employee questions. - Initiate sourcing activities through defined sources of hiring such as employee referral, internal job postings, intimation to recruitment consultants, external job posting on social media, career page & job portals
- Screen candidate profiles by reviewing resumes – qualification, experience, skill-sets, job movement, etc. and share the relevant profiles to hiring managers
- Reach out to shortlisted candidates and interview panel for scheduling interviews and plan for any other assessments as per the defined methodology. Conduct referral checks / initiate background verification of selected candidates as per the defined guidelines
Qualifications:
- Bachelor’s degree and Minimum 4- 5 years of administrative and recruitment experience in an office environment.
- Able to work independently with minimal detailed supervision.
- Excellent prioritization and organizational skills, and demonstrated attention to detail.
- Knowledge of office management systems, equipment, and procedures.
- Excellent written and verbal communication skills.
- Ability to communicate effectively across all levels of the organization.
- Proficient in Microsoft Office Suite (Word, Excel PowerPoint, SharePoint).
- Ability to maintain the confidentiality of sensitive and confidential information.
- Knowledge of recruitment portals like Naukri, Monster etc.
