Job description:

We are looking for the position of Executive Assistant to the Managing Director,

At Workafella we relate our success directly to the strength of our management team. We are seeking the Comprehensive administration duties for this role to support the Managing Director. Arranging travel and accommodation, working on day-to-day planning and organization of the Managing Director’s diary, and Dealing with the Managing Director’s email, posts, and correspondence.

You will be responsible for supporting all aspects of the Managing Director’s work including appointments and the diary, travel and accommodation, managing his dates towards the business plan, and producing agendas, minutes, and all key paperwork for meetings.

A candidate should be a highly skilled professional who is in an administrative capacity to the MD towards managing his schedules and providing efficient and effective administrative support to the Managing Director.

· UG / PG in Business Administration or related field preferred

· Having a minimum 3 years and a maximum 6 years as Secretary to the MD/ED/CEO/DIRECTOR/VP

· Proven admin or assistant experience

· Knowledge of office management systems and procedures

· Excellent time management skills and ability to multi-task and prioritize work

· Attention to detail and problem-solving skills

· Excellent written and verbal communication skills

· Strong organizational and planning skills

· Proficiency in MS Office.

· Ability to function well in a high-paced and at times stressful environment.

· Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

· Provides high-level administrative support and assistance to the Managing Director

· Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents to the Managing Director.

· Organise and arrange travel and accommodations

· Scheduling meetings, taking notes, and recording minutes of meetings.

· Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff and updates the same on a timely basis to the Managing Director

· Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.

· Follow-up on the work assigned by the MD

· Preparation of Presentations/ Agenda for the Board Meetings.

· Follow up with the client’s appointment, calendar remainder on appointments with clients/customers, monitor his important meeting plan, schedule MDs appointments, etc.

· Maintaining utmost confidentiality of business-related communications

· Performs additional duties as assigned by the Managing Director based on the requirements

· Performs other related duties as assigned.
