Responsibilities:
1. Managing the day-to-day operations of the office
2. Take Review and Report with data to the Director for the operating processes and systems in the
company (FMS, PMS, D-OTD, DL, Checklists etc.)
3. FOLLOW UP – All the tasks given by the Director to the organization members have to be delegated by the EA. She has to take a commitment by when the task will be finished (time and date). If the work is not done within the TAT then the work is not in the process but it’s stuck at some stage which is taking time to be resolved. So that issue needs to be escalated to the problem solver or the DIR, so it gets resolved in priority.
4. Manage Incoming mails of the Director and report. If call is from the Family, immediately report.
5. Answer and manage incoming calls for Director and keep records – “Good Morning Sir/Mam. Sir is in the meeting and has left his phone with me. You are requested to confirm me the message and I shall convey to sir when he gets free, Or is their any task/work you want an update on then please confirm and I shall get it managed”
6. Manage and maintain Directors schedules, appointments and travel arrangements.
7. Act as the point of contact between Director and employees/clients/vendors.
8. Conduct research, collect and analyse data to prepare reports and documents
9. Plan, Schedule and coordinate meetings, appointments and events
10. Record, transcribe and distribute minutes of meeting.
11. Organizing and maintaining files and records
12. Preparing and editing correspondence, reports, Presentation and Google -Sheets, Forms , Docs.
13. Facilitate internal communication
14. Monitor, screen, respond to and distribute incoming communications
15. Receive and interact with incoming visitors
16. Liaise with internal staff at all levels
17. Interact with external clients for Director
18. Coordinate project-based work on behalf of the Director.
19. Personal tasks – Travel bookings, Dinner bookings, Movie tickets booking, repair and maintenance services booking, online orders on e-portals etc.
