Responsibilities include
· Reporting to HR Generalist for daily activities, but supporting CEO and upper management as and when needed
· Coordinate office activities (such as birthdays, sports events, office get-togethers) and operations to secure efficiency and compliance to company policies
· Manage agendas/travel arrangements/appointments etc. for the upper management
· Manage phone calls and correspondence (e-mail, letters, packages etc.)
· Support budgeting and bookkeeping procedures
· Create and update records and databases with personnel, financial and other data
· Keep stock of office supplies and place orders when necessary
· Maintain attendance register for the operations team (2nd Floor) and keep the HR Generalist updated
· Responsible for collecting and securely storing all documents of new hires
· Responsible for new employee onboarding – getting paperwork signed, ensuring IT setup is complete, following through the new hire checklist, etc.
· Responsible for Clearance certificate for exiting employees
· Assisting HR Generalist with HR processes whenever necessary
· Possible promotion to HR Assistant/Coordinator
Requirements and skills
· Good communication and interpersonal abilities
· Good organizational skills
· Familiarity with office management procedures and basic accounting principles
· Excellent knowledge of MS Office
· Qualifications in secretarial studies will be an advantage
Experience Minimum 6 month
