JOB OBJECTIVE
Executes the administrative and secretarial tasks of the department in order to support the effective operation of the department and the SMC’s managed vessels. Organises, coordinates and performs a wide range of administrative and general support duties
RESPONSIBILITIES
1. Executes the secretarial and administrative tasks of the department, in order to
upport the Manager and the members of the department in performing their role.
2 Handles the Manager’s calendar coordinating his appointments and trips, identifying priorities and informing him accordingly, so as to address all items on-time and with efficiency.
3 Screens and responds incoming calls to the Manager and takes appropriate action to handle each situation. Makes routine telephone calls to follow up actions on his behalf.
4 Reads and analyses incoming information, and reports in order to determine their significance and proceeds to their distribution
5 Monitors the personal expenses of the department’s members against the provided budget and prepares relevant reports (such as Actual Committed Costs against Budgets), in order to inform the Manager accordingly.
6 Develops and updates the archives of the department, so as to keep good record of all department actions and relationships.
7 Prepares and participates in departmental meetings and takes minutes of the meeting, when requested…
8 Where applicable, assists and/or prepares department’s reports as per the SMC / Group requirements and ensures their timely submission. Makes necessary copies, and maintains respective records.
9 Where applicable, updates PAL systems with department’s data as per requirements.
10 Perform duties as assigned by the Manager
Education and Qualifications:
Work Experience: At least 3 years’ experience within a large organisation dealing with administrative duties
