· Mailing writeup of all business & case studies. Preparing MOM.
· R& D in Internet and mailing all the PPTs.
· Liasioning with Govt, Police, Security agencies, Airport /Customs.
· Mail Management.
· Dealing with Media. (LinkedIn, FB verification, twitter handling)
· Coordination with security, Admin, Facility Management, Personal Household staffs.
· To be responsible for security of the office and make necessary arrangements of the same for all offices at various location.
· Overseas insurance for Travel.
· E Tickets, web check ins, boarding passes, etc.
· Visa & Passport documentations.
· Travel Insurance Policies & their renewals.
· Booking of hotels for employees/Clients/Guest in India and logistics support.
· Courier – Dispatch, tracking, follow-up, mailing, monitoring courier register, billing
· Maintaining files, segregation of documents under files
· Stock maintenance & ordering- Stationery, Housekeeping material, Grocery, Food items etc. at the Office/Guest house premises.
· Keeping the stock of all the offices and update accordingly– List to be provided of all rejects for disposals on monthly basis
· Fuel management.
· Maintenance of Logbooks/Gadgets.
· Maintaining Admin trackers – Asset list and registers,
· Monitor – Building AC, split ac, plumbing issues, biometric device, fire panel, all the other assets of the Office
· Organizing Office get-togethers, celebrations etc.
· Maintaining vendor contracts, vendor data, AMC, warranty cards of assets
· Facility Management – Including AMCs of all electrical / electronic appliances, Air Conditioners, UPS, water purifiers etc. Also, to ensure regular Pest control, subscription of Newspapers / magazines, etc.
· Surprise checking of works allocated to employees.
· Multi-tasking & Remote Management.
· Coordination with Branch offices & Head office regarding the daily expenses– to ensure all expenses are assigned specific heads as would be informed by the accountant, attendance, letters / mails received.
· Vehicles Details i.e., Movement/ Servicing/ Repairing/ Log Book /Insurance follow up / Weekly washing & Tyre Pressure to be maintained
· To ensure daily Dusting / Cleaning / petty expenses and its account for the office n keep track of the same for all offices any deviation in maintaining such daily due diligence — Necessary reporting to be done to the management, appropriate action is to be taken for correcting such deviation n ensure non repetition of the same in future.
· To submit monthly budget for each office in the 1st week of each month and submit comparison of the same with the actual expenses incurred for the same heads & additional head in the 1st week of the subsequent month.
· To prepare action plan for my new changes to be incorporated.
· To do all such allied activities that may not be mentioned here.
