Position – Executive Assistant to Director
Job Responsibilities –
– Answering phone calls and redirecting them to the correct person as and when required
– Managing the daily/weekly/monthly agendas
– Arranging meetings and managing appointments
– Preparing and distributing correspondence, memos, and forms
Job Duties –
Ø The candidate will be responsible for Managing schedules, meetings and appointments.
Ø Overall responsibilities for assisting the Director in his day-to-day work.
Ø Excellent follow up and coordination skills.
Ø Handling emails & correspondence, internally and externally, replying on Directors behalf as may be required.
Ø Arranging meetings in the office as well as setting up meetings on zoom, teams, google meet, etc. and being familiar with how to operate the same.
Ø Preparing minutes of meetings (MOM) and keeping the Director updated.
Ø Follow up and coordinate with internal teams for information as per instructions given and report to the Director effectively and efficiently.
Ø Handling calls on behalf of the Director as per instructions.
Ø Making Travel and Stay Arrangements of Directors.
Ø Follow up for collection of reports for management.
Ø Preparation of documents for important meetings.
Ø Filing, updating paperwork and maintaining documents.
Ø Coordination with various departments & making protocols as per the instructions of the Director.
Ø Monitoring tasks and completion.
Ø Keeping track of insurance, maintenance contracts etc.
Ø Any other responsibility, as may be allocated by the Director from time to time.
Available to join immediately or within 15 to 20 days
